Start with the outcome
Agree what should improve, who owns the task and how we will judge whether it helps. Decide what would justify continuing—or stopping—before the build begins.
Our approach
Kairos works forward from the business result and stays close to the people who own the work.
Your first conversation
Tell us what you want to achieve, what stands in the way and what a successful result would look like. A general description is enough to start the conversation.
We discuss the commercial opportunity, the decisions that matter and the risks to manage. Together, we identify a useful next step: making better use of existing tools, changing the process or exploring a custom build. Sometimes no build is needed.
Tell us about the task →Your first engagement
Start with one valuable workflow. A proof of concept typically takes around a month, with production deployment following over the next few months, depending on scope, data readiness and integration needs.
Review the outputs with your team, then agree the steps toward production. We agree data access, hosting and review requirements before using company information.
Working together
Kairos leads the technical build and ongoing support. The client provides the business context, access and decisions needed to make the system useful.
Before the build starts, Kairos and the client agree the named contacts, responsibilities and milestones for the engagement.

Agree what should improve, who owns the task and how we will judge whether it helps. Decide what would justify continuing—or stopping—before the build begins.
02
Follow the task across people, systems and documents, including what happens when things go wrong. Agree what the system can do and what people still need to check and approve.
03
Build the smallest complete workflow that people can use. Connect the required tools, define human approval points and give failure a recovery path.
04
Measure the business result and keep enough evidence to inspect each important action. The next iteration follows what happened in real use.

High trust
Agree who is responsible, what the system can do and when a person must approve. Keep the work available for checking and a way to recover when something goes wrong. The controls match the risks of the task.
